Choose around the work your team actually does

A hotel employee recording a morning test and an aquatic director managing lifeguard certifications are buying different things. Our four-platform ranking starts with HydroApps for a broader aquatic operation, then DigiQuatics for staff coordination, SwimmingPoolLog for a focused shared water log, and Pool Shark H2O for chemistry monitoring. SwimmingPoolLog takes third for its simple workflow and lower published per-pool price; Pool Shark H2O offers more chemistry automation. This is an editorial ranking of documented scope, not a performance score; the best fit still depends on your facility.

Disclosure: this article is published by SwimmingPoolLog, a PoolDial product. We reviewed official product descriptions and pricing pages on October 22, 2026; we have not run a comparative hands-on trial of the competing platforms. The order reflects documented scope and the workflows below, not performance scores.

Start with the records and responsibilities your team needs to manage.

1. HydroApps: our lead pick for broader facility operations

HydroApps is the first platform we would evaluate when the requirement extends across inspections, incidents, staff responsibilities, and daily facility documentation. Its Facility Manager product describes customizable checklists, incident reports with photos, signature capture, inspection logs, and role-based access. That broader operating scope is why it leads this shortlist.

Its product catalog also lists Pool Test, Staff Manager, Schedule Manager, and Equipment Manager. Treat those as modules to scope in a demonstration, rather than assuming every capability comes in one subscription. HydroApps was developed by aquatic consulting and design firm Counsilman-Hunsaker.

Pricing is private: request a quote. The current Facility Manager page directs buyers to customized pricing. Ask for the modules and facilities covered, implementation work, and renewal terms in writing; older starting prices found in search results are not a current quote.

2. DigiQuatics: best fit when coordinating staff is central

Put DigiQuatics on the shortlist when shift coverage and staff administration are as important as water records. Its modules include staff scheduling, a time clock, chemical records, custom forms, daily checklists, shift reports, and certification tracking. Ask staff to demonstrate the handoff between a shift change and an unfinished facility task.

DigiQuatics publishes a starting price of $400 per year. Full plan pricing is by quote, with a plan customized to the organization. Its pricing page describes monthly or annual billing and seasonal arrangements. The advertised floor does not establish the cost of your required module bundle.

3. SwimmingPoolLog: best fit for a focused shared water log

SwimmingPoolLog fits a facility that already handles staffing elsewhere and wants a consistent place for pool readings. Staff scan a facility QR sign, select a pool or spa when necessary, and use the shared facility PIN to record their name and results. Managers can review history, flagged readings, follow-ups, and chemical additions, then export PDF or CSV records.

It costs $15 per pool or spa per month, with unlimited staff and readings. Setup is free and requires no card; the first saved water test starts the 14-day trial. A facility with a main pool and a spa pays $30 per month after the trial. Twelve paid months total $360; that is a calculation, not an annual-discount offer.

We rank SwimmingPoolLog third for facilities seeking a focused, lower-cost shared log. Its operating scope is narrower than HydroApps and DigiQuatics, and Pool Shark H2O provides more chemistry automation. It does not currently provide automated chemistry alerts or dosing recommendations. It does not replace lifeguard scheduling, certification tracking, admissions, or lesson registration. Staff names are self-reported, and public facility links expose read-only records to anyone with the link. Evaluate that access model before putting sensitive information in notes.

4. Pool Shark H2O: stronger chemistry monitoring and alerts

Pool Shark H2O is our fourth pick, and worth moving up your own shortlist when chemistry automation matters. It documents automated alerts, chemical dosage calculations, custom report checklists, and individual staff logins. Those capabilities go beyond a shared record of readings. It is a closer comparison for chemistry operations than the wider staffing-oriented suites.

Its commercial plan is $249 per pool per year, billed annually. That is a $20.75 monthly equivalent, not a monthly payment option. Corporate and OEM pricing is private. Confirm which workflow and access requirements the quoted plan covers.

In a demo, follow an alert from the initial reading through staff response and the next test. Its feature page says offline recording is available on iOS; Android and other devices need an internet connection. Test the actual devices and connectivity your team uses.

Compare the same scope before comparing the price

The price table above is a starting point, not a like-for-like total-cost ranking. A private quote for a wider suite cannot be compared with a single-purpose subscription until the required work is defined. Do not treat an unpublished price as zero, or a published starting price as the price for every feature.

Give vendors the same brief: number of facilities and bodies of water, year-round and seasonal staff counts, required forms, and who needs access. Request separate amounts for subscription, implementation, training, and any export or storage charges. Confirm taxes, renewal terms, cancellation rules, and off-season access before signing.

  • Have a new staff member record a test without coaching.
  • Correct an entry and inspect what history is preserved.
  • Assign a follow-up and show the next shift how to find it.
  • Export a month of records and check names, units, timestamps, and corrections.
  • Confirm that the purchased plan includes every workflow demonstrated.

When a template is enough to start

If your team has not agreed on what to record, settle that first. Use a blank log sheet for field selection and a handoff checklist to name responsibilities. Then use that actual workflow in each software demo.

For complex operations, start with a HydroApps demonstration. If staffing is the main pain point, compare DigiQuatics next. If your immediate need is a shared water log, test SwimmingPoolLog with one facility. For chemistry alerts and calculations, evaluate Pool Shark H2O. Software selection does not establish local operating requirements or guarantee inspection acceptance.
