Give the incoming shift the latest record, unfinished work, a named owner, and a clear next step. Build a printable checklist for your property.
Hand over the next action, not just the clipboard
Hotel pool work may move between engineering, recreation staff, and a duty manager. The handoff fails when everyone can see the log but nobody knows who is responsible for the next task. Use a short checklist that makes ownership explicit for each pool and spa.
The free builder includes a starting checklist and lets you remove tasks or add property-specific ones. Add outgoing and incoming contacts, then print or download the sheet. It is a planning template, not a record of work already completed.
Review these items together
Work through the checklist at the actual shift change. Refer to the recorded result instead of repeating measurements from memory. A checkmark means the item was reviewed; it does not itself establish that water conditions meet the operating procedure.
- Identify the property, pool or spa, date, and outgoing and incoming staff.
- Confirm the latest test time and where the full readings can be found.
- Review unresolved results and distinguish completed actions from pending retests.
- Name the person responsible for each next task and its due time.
- Communicate the operating status and any restrictions through the facility procedure.
- Confirm access to the log, emergency contacts, and any temporary paper records.

Write a handoff someone can act on
Example: “Outdoor pool, follow-up A: initial test and action recorded in the water log. Retest pending. Incoming operator Jordan owns the next test at the time set by our procedure. Duty manager Sam has been notified of the current restriction.” This identifies a task, a person, and a record without inventing a treatment instruction.
Compare that with “Pool handled.” The shorter phrase does not say what happened, what remains open, or who accepted the handoff. If the incoming person cannot take the task, escalate it before the outgoing person leaves. Do not assume that writing a name on a sheet confirms acceptance.
Make room for the evening and weekend shifts
Define the contact route when the regular pool operator is off duty. A guest-facing employee may communicate a restriction without being qualified or authorized to change it. Keep those responsibilities distinct in the checklist.
If there is no overlap between shifts, use your established contact method to obtain acknowledgement for unresolved work. Store the handoff beside the water log or reference it clearly so the next employee is not searching multiple chat threads.
Keep the checklist short and current
Review the template after a staffing change, a new pool or spa, or a change to your operating procedure. Remove tasks that belong on another form and link to that form instead. A handoff should direct attention to unfinished work without duplicating the whole day’s records.
SwimmingPoolLog provides facility log access and pool history. This downloadable checklist complements that record; it does not create staff assignments or notifications in the app.
